Association Gatherings, events and meetings

Meetings

The Board of Directors facilitates the gatherings, events and meetings within the association.  Generally, these will be one of 4 types offered. 

Code of Conduct and Rules of Engagement implemented for all gatherings, events and meetings.



The Board of Director meetings (via Zoom)  The purpose of the meeting is to conduct the business of the association. 

Association members (owners) are welcome to attend. 

Please check the website right here in the meetings tab, the day of the meeting, for the Zoom link and to confirm if there have been any meeting date/time changes.


Meet and Greet's are a great opportunity, where owners may stop by to say hello to the Board members and get to know their neighbors.  Owners may provide feedback or ask questions (via submitting forms available onsite). These are held in the main office lobby area on the third Tuesday every other month.


TownHall/Workshops (hosted by management and Board) are an informative platform to help owners understand some of the less common topics within the association, which may also include larger projects and the updates for those. 


Annual Meeting  is designated for the purpose of electing members of the Board of Directors and to report the financial condition of the Association.  The Zoom link will be made available the day of the meeting right here on the website.  


 All  meeting minutes are uploaded to the owner portal after Board approval, uploaded to the community website, and are available upon owner request.  


It is owner responsibility to review the website often to be informed of all meetings and voting dates. This website is the preferred method of communication for the residents of the association.

Code of Conduct for Gatherings-Events-meetings

Code of Conduct for Aix La Chapelle Gatherings/Events/Meetings
  

1. Preamble:

The Aix La Chapelle Condominium Association recognizes the importance of conducting gatherings/events/meetings in an atmosphere of mutual respect, integrity, and civility. This Code of Conduct is a guide to promote a positive and harmonious community. 

2. Rules of Engagement:

a. Previously asked questions sent to the Board of Directors or management will be addressed in either direct communication or at a follow-up meeting as appropriate.

b. Meetings with an allowance of time for questions/comments will have the designation of one (1) minute to do so. This is directed at the Board of Directors for review and discussion at a follow-up Executive session.

3. Respect for Diversity and Inclusion:

a. Attendees shall treat each other with respect as fellow members of the association.

b. Discrimination, harassment, or derogatory language based on race, gender, religion, ethnicity, sexual orientation, or any other characteristic will not be tolerated. 

4. Constructive Communication: 

a. Owners shall engage in constructive communication, focusing on the gathering/event/ meeting agenda. 

b. All dialogue shall be conducted in a professional manner, led by the Board of Directors or appointed delegate for the gathering/event/meeting. 

5. Conflict of Interest:

a. Owners shall promptly disclose any potential conflicts of interest and abstain from participating in discussions that would be of personal/exclusive benefit to that specific owner and their unit, as we must only consider the mutual benefit of the association.

6. Compliance with Governing Documents: 

a. Owners shall familiarize themselves with and adhere to all governing documents, rules, and regulations established by the association. 

7. Accountability for Actions:

a. Owners shall take responsibility for their actions and decisions, recognizing their impact on the community and fellow members of the association.

 b. Constructive feedback and suggestions for improvement shall be welcomed. This is not the forum for disputes.

8. Adherence to the Code of Conduct:

a. Owners shall acknowledge and adhere to this Code of Conduct, holding themselves accountable for upholding its principles. 

b. Non-adherence to this Code of Conduct by one or more attendees may result in the early adjournment of the gathering/event/meeting at the discretion of the Board of Directors or its delegate. 

c. Disruptive, inflammatory, or otherwise aggressive behavior will not be tolerated.

9. Recording: 

The official records of all Association meetings shall be the approved Meeting Minutes. This ensures the accuracy and integrity of official record. For this reason, recording meetings in any format is prohibited. 

Additionally, this recording restriction helps to ensure the safety, privacy and security of those present the gathering/event/meeting.
