The Board of Directors facilitates monthly meetings within the association. Generally, these will be one of 4 types of meetings offered- see below:
The Board of Director meetings (via Zoom) are typically held quarterly at 6:00 pm. The purpose of the meeting is to conduct the business of the association.
Association members (owners) are welcome to attend.
Please check the website right here in the meetings tab, the day of the meeting, for the Zoom link and to confirm if there have been any meeting date/time changes .
Town Hall Meetings are a great 'meet and greet' opportunity, where owners may visit with the Board members and can provide feedback or ask questions. These are held in the main office lobby area.
Workshops (hosted by management and Board) are an informative platform to help owners understand some of the less common topics within the association, which may also include larger projects and the updates for those. Code of Conduct and Rules of Engagement implemented.
Annual Meeting is designated for the purpose of electing members of the Board of Directors and to report the financial condition of the Association. The Zoom link will be made available the day of the meeting right here on the website.
All meeting minutes are uploaded to the owner portal after Board approval, uploaded to the community website, and are available upon owner request.
It is owner responsibility to review the website often to be informed of all meetings and voting dates. This website is the preferred method of communication for the residents of the association.

Code of Ethical Conduct, Integrity, and Civility for ALC Owner and Board of Directors Meetings
1. Preamble
The Aix La Chapelle Condominium Association recognizes the importance of conducting meetings in an atmosphere of mutual respect, integrity, and civility. This Code of Conduct is designed to guide homeowners in promoting a positive and inclusive community.
2. Rules of Engagement:
a. Previously asked questions sent to management will be addressed in the meeting.
b. Owners will be given one (1) minute to state their concerns or ideas to the Board of Directors for review and discussion at follow up Executive sessions.
3. Respect for Diversity and Inclusion:
a. Owners shall treat each other with respect, kindness, and consideration, valuing the diversity of opinions, backgrounds, and experiences within the community.
b. Discrimination, harassment, or derogatory language based on race, gender, religion, ethnicity, sexual orientation, or any other characteristic will not be tolerated.
4. Constructive Communication:
a. Owners shall engage in open, honest, and constructive communication, focusing on the issues at hand and avoiding personal attacks or offensive language.
b. Meeting dialogue shall be conducted in a professional manner, with a commitment to finding solutions that benefit the community.
5. Conflict of Interest:
a. Owners shall promptly disclose any potential conflicts of interest and abstain from participating in discussions that would be for personal/exclusive benefit to that specific owner and his unit, as we must only consider the mutual benefit of the association.
b. The association leadership shall address and manage conflicts of interest in accordance with established procedures.
6. Compliance with Governing Documents:
a. Owners shall familiarize themselves with and adhere to all governing documents, rules, and regulations established by the association.
b. Any concerns or disputes regarding compliance shall be addressed through appropriate channels and in a respectful manner.
7. Accountability for Actions:
a. Owners shall take responsibility for their actions and decisions, recognizing their impact on the community and fellow homeowners.
b. Constructive feedback and suggestions for improvement shall be welcomed and utilized to enhance the overall well-being of the community.
c. Disputes regarding property maintenance or usage shall be addressed in a courteous and respectful manner.
8. Commitment to Community Harmony:
a. Owners shall act in a manner that supports and enhances the overall well-being and harmony of the community.
b. Personal interests or agendas shall not supersede the collective goal of fostering a thriving and welcoming community.
9. Adherence to the Code:
a. Owners shall acknowledge and adhere to this Code of Conduct, holding themselves and their fellow homeowners accountable for upholding its principles.
b. Violations of this Code shall be addressed through established procedures for remediation and, if necessary, enforcement.
10. Recording:
The official records of all Association meetings shall be the approved Meeting Minutes. This ensures the accuracy and integrity of official record. For this reason, recording meetings in any format is prohibited. Additionally, this recording restriction helps to ensure the safety, privacy and security of those present.
